Appointment Booking Policy

Kerala Ayurveda Clinic is committed to providing a seamless and efficient appointment booking experience for our valued clients. To ensure a smooth process, please review the following guidelines:

Appointment Bookings:

  • Online Reservations: Clients may book appointments exclusively through Fresha or Google Booking System.

  • Gender-Specific Bookings: When booking online, clients must select the correct therapist's gender (male or female) that aligns with their gender. This is essential to comply with our strict policy of gender-specific therapy.

  • Incorrect Selection: Failure to select the correct gender may result in last-minute cancellations as we cannot modify online bookings.

Appointment Confirmation:

  • While you may select your preferred appointment time online, please note that availability cannot be guaranteed due to in-person and phone bookings.

  • To secure your appointment, a deposit is required at the time of booking.

  • If a deposit is not provided, your booking will be held provisionally for up to 2 hours. After this time, the appointment will be automatically cancelled.

  • We strongly recommend confirming your appointment with a deposit within the specified timeframe to secure your preferred timeslot.

Appointment Rescheduling:

  • If your selected timeslot is unavailable, we will contact you to schedule an alternative appointment time or date.

By booking an appointment with Kerala Ayurveda Clinic, you agree to these terms and conditions.

Deposit Policy

To ensure a dedicated appointment time and maintain our commitment to quality service, we require a booking deposit. This deposit serves as a confirmation of your appointment and contributes toward the total service cost.

Deposit Amount

  • Minimum Deposit: A minimum deposit of £15 is required to secure your appointment.

  • Variable Deposits: Depending on the duration and type of treatment, the deposit amount may vary. In some cases, a deposit of up to 50% or 100% of the total service cost may be required.

Why a Deposit is Required?

Your appointment is a reserved time slot, and we want to ensure that it is used effectively. A deposit helps to secure your appointment and minimizes the risk of no-shows or last-minute cancellations.

Payment Methods

We accept deposits via bank transfer, cash, or card payments.

Appointment Cancellation Policy

  • 48-Hour Notice: We kindly request that you provide at least 48 hours notice for any cancellations to avoid losing your deposit.

  • Non-Refundable Deposits: If less than 48 hours notice is given, the deposit will be non-refundable and non-transferable.

  • No-Shows: Clients who fail to attend their appointment without providing sufficient notice will be charged the full-service cost.

  • Late Arrivals: Appointments may be cancelled or rescheduled if the client is more than 15 minutes late, and the deposit may not be refunded.

  • Emergency Cancellations: In unforeseen circumstances beyond our control, we will do our best to reschedule your appointment. However, due to the exclusive nature of the time slot reserved for you, refunds for emergency cancellations are not possible. We understand that unexpected situations may arise, and we apologize for any inconvenience this may cause.

Cancellation and Rescheduling Guidelines:

To maintain an efficient scheduling process and accommodate all clients, we kindly request that you provide adequate notice if you need to cancel or reschedule your appointment. Please note that last-minute cancellations or no-shows may incur a cancellation fee.

  • Notice Period: We kindly request a minimum of 24 hours notice for any appointment cancellation. This allows us to offer the time slot to other clients.

  • Cancellation Fees: For cancellations made within 24 hours of the appointment, a cancellation fee will apply. The fee is calculated as follows:

    • Appointments lasting one hour or less: 50% of the service price.

    • Appointments lasting 90 minutes, two hours, or group bookings: 50% of the service price if cancelled within 48 hours.

  • No-Shows: Clients who miss their appointment without prior notification will be considered a "no-show." A full charge for the missed appointment will be applied, and future services may be denied until payment is received.

Lateness Policy

To ensure smooth and timely service, we ask clients to arrive 5-10 minutes before their appointment to complete any necessary paperwork. Please note, that our therapists can only extend sessions by up to 5 minutes beyond the scheduled end time. If you arrive late, your session may be shortened to accommodate other appointments.

Late arrivals will still be charged the full treatment price, as the time is reserved specifically for you. If your session is shortened due to lateness, the full fee will still apply.

We value punctuality to ensure all clients receive the time they are scheduled. If we are running late, we will make sure you receive the full duration of your treatment.

Appointment Reminders and Responsibility:

While we will send appointment reminders as a courtesy, it is your responsibility to ensure that you are aware of your appointment date and time. Please contact us if you need to verify any details.

Refund Policy:

  • Prepaid Appointments: If you cancel a prepaid appointment with at least 48 hours notice, a refund will be processed within 7-14 business days.

  • Packages and Gift Vouchers: Refunds for packages, gift vouchers, or other products and services purchased at the clinic are generally not refundable if you change your mind after purchase.

  • Partially Used Services: For partially used services, you will be charged for the services rendered, plus a £15 administrative fee upon cancellation.

  • Special Offers: Services purchased under special offers that are partially used will incur the full price for the services utilized, plus a £15 administrative fee.

  • Refund Requests: Refund requests must be submitted within the 48-hour notice period before the scheduled appointment or service purchase.

Gender-Specific Therapy

We offer gender-specific therapy for your comfort. Male therapists treat male patients, and female therapists treat female patients. Please respect this policy. Any inappropriate behaviour is unacceptable. We reserve the right to refuse service.

Gift Voucher Policy

1. Purchase

  • Gift vouchers can be purchased online at www.keralaayurvedaclinic.com, in person at the clinic or over the phone by placing a telephonic order.

  • Choose a denomination within our minimum and maximum limits.

  • Accepted payment methods apply for online and in-person purchases.

  • Vouchers are non-refundable and non-exchangeable for cash or other forms of payment.

2. Delivery

  • E-vouchers (online purchases) are emailed to the provided address.

  • Physical vouchers (in-person purchases) are presented for gifting.

3. Redemption

  • Vouchers are valid for eligible products, services, and treatments.

  • Present the physical voucher or e-voucher (printed or on a mobile device) at reception for redemption.

  • The recipient is responsible for the full cost if a valid voucher is not presented.

  • Vouchers can be used partially or fully. The remaining balance applies for partial use.

  • Vouchers cannot be combined with other promotions unless explicitly stated.

4. Expiry

  • Vouchers expire on the date indicated on the voucher or accompanying documentation.

  • Expired vouchers are void and will not be extended.

  • For expired vouchers that were unable to be used within 6 months due to unforeseen circumstances, a one-time extension of one month can be granted for a fee of £20. This extension is subject to approval and is not guaranteed. It is available only in special cases and is not applicable in all situations. The extended voucher must be used within the one-month extension period, after which it will expire with no further extensions.

5. Lost or Stolen Vouchers

  • The Clinic is not responsible for lost, stolen, or damaged vouchers.

  • Treat vouchers like cash and take appropriate security measures.

6. Transferability

  • Vouchers are transferable under special circumstances.

  • If the original recipient is unable to use the voucher, it can be transferred to a family member or friend.

  • The new recipient must present a valid voucher along with written confirmation from the original owner.

  • If no valid voucher or written authorization is provided, the full treatment cost will be charged.

7. Booking and Cancellation

  • Book appointments well in advance within the voucher validity period.

  • Vouchers are void for cancellations with less than 24 hours notice or missed appointments.

  • The full treatment cost will be charged in such cases.

  • Vouchers are non-refundable for change of mind after purchase.

8. Discrepancy in Date Changes

  • Intentionally altering voucher dates without Clinic consent renders them invalid.

9. Code of Conduct

  • Violent behaviour towards staff regarding voucher expiry is unacceptable.

10. Modification and Termination

  • The Clinic reserves the right to modify or terminate the Gift Voucher Policy at any time.

By purchasing or using a voucher, the customer agrees to these terms and conditions.

Special Packages (Membership) Policy

Our special packages offer discounted rates on treatments or services. These discounts are provided in exchange for your commitment to using the package within its specified validity period. Packages are non-refundable and non-exchangeable.

Purchase and Redemption:

  • When purchasing, provide the payee's name, contact number, and purchase date.

  • Book appointments well in advance within the package's validity period.

  • Present a valid package card upon arrival. Failure to do so will result in full payment.

Cancellation Policy:

  • Cancellations must be made at least 24 hours in advance.

  • Failure to cancel within 24 hours will result in the full treatment cost being charged, and the package session(s) will be void.

  • Cancellations within 7 days of purchase incur a £25 administration fee, plus the full price of partially used services.

Package Validity and Extensions

  • Packages have specific validity periods (6 months for 3-session packages, 12 months for 6-session packages).

  • Extensions are not available.

  • Unused portions of expired packages are void.

Post-Expiry Usage

Special Cases: If you are unable to use the package within its validity period due to special reasons (like medical issues), you may use any remaining sessions after expiry. You will need to pay the difference between the total package price and the discounted price you initially paid. For example, if the package was bought for £235 and the full price is now £250, you will need to pay a £15 difference for any remaining sessions. Please note that the current price will be applied.

Additional Considerations

  • Abusive behaviour towards staff regarding expired services or packages will not be tolerated.

  • Free sessions included in packages are not valid after the package's expiry date.

  • Packages are offered at discounted rates due to their validity periods.

  • After the package expires, you will need to pay the original treatment price for any remaining sessions.

Personal Belongings

The Clinic is not responsible for lost personal items. We strive to notify customers of found property but cannot guarantee its safe return. Clients are solely responsible for the safekeeping of their belongings.

Client-Therapist Interaction

During your session, you have control over the level of communication. Your therapist will respect your boundaries. However, they may need to speak with you to ensure your comfort, request feedback, or provide relevant information. All conversations will be confidential and treated with professionalism and respect.

Parking Information

Please note that we do not have private car parking. However, on-street parking is available in the area. You can find "Pay & Display" parking on the main road and side roads. Parking tickets can be purchased from nearby machines.

To ensure a smooth experience, we recommend arriving at least 30 minutes early for your appointment. This will allow ample time for parking and any necessary preparations. Thank you for your understanding and cooperation.

Professional Conduct

Our clinic maintains a high level of professionalism. Sexual contact or misconduct between clients and therapists is strictly prohibited. Violations will result in immediate termination, full payment, and a ban from the clinic.

We adhere to a gender-specific therapy policy: male therapists treat male patients, and female therapists treat female patients in separate rooms.

Zero Tolerance Policy

We are committed to providing a safe and respectful environment for all. Any form of abusive or violent behaviour is strictly prohibited. This aligns with the government's "Zero Tolerance" initiative.

Our staff strives to be polite, helpful, and understanding. However, aggressive behaviour, including physical violence, verbal abuse, racial abuse, sexual harassment, or theft, will not be tolerated.

Such behaviour may result in removal from the clinic and the involvement of the police. We ask all patients to respect our staff and fellow patients.

We understand that appointment changes can be inconvenient. We will do our best to provide ample notice for any necessary rescheduling. However, please be aware that unforeseen circumstances may require adjustments.
